This Refund and Payment Policy outlines the financial, billing, and cancellation expectations for clients of Graceful Self-Help Counseling, PLLC, a Kentucky telehealth counseling practice operated by Christina F. Reed, LMFTA.

Christina Reed practices under clinical supervision in accordance with Kentucky state regulations governing LMFTA licensure.


1. Payment for Services

Payment is due at the time of service unless other arrangements have been discussed and approved in advance.

Accepted forms of payment may include:

  • Credit or debit card
  • HSA/FSA card
  • Approved insurance plans (when applicable)
  • Secure electronic payment systems

Clients may receive a Good Faith Estimate as required under the federal No Surprises Act.


2. Insurance Billing

If insurance is accepted, clients are responsible for understanding their own insurance benefits and coverage limitations.

Clients are responsible for:

  • Providing accurate and current insurance information
  • Updating insurance information promptly if coverage changes
  • Copays, deductibles, coinsurance amounts, or non-covered services
  • Any balance remaining after insurance processing

Verification of insurance benefits does not guarantee payment by the insurance company.


3. Private Pay Rates

Private pay session rates may vary depending on service type, session length, insurance participation status, and clinical needs.

Current fee ranges for telehealth counseling services generally fall within standard market rates for Kentucky outpatient counseling services.

Updated fee information may be discussed during scheduling, intake, or consultation.


4. Refund Policy

Therapy services, assessments, consultations, and completed clinical services are generally non-refundable once services have been provided.

Refunds may only be considered in situations such as:

  • Duplicate payments or duplicate charges
  • Billing errors
  • Charges processed incorrectly
  • Approved cancellations that were mistakenly charged

All refund determinations are made at the discretion of Graceful Self-Help Counseling, PLLC.


5. Cancellation & No-Show Policy

Clients are asked to provide at least 24 hours notice for appointment cancellations or rescheduling whenever possible.

  • Late cancellations:
    Appointments canceled with less than 24 hours notice may be subject to a cancellation fee up to the full session amount.

  • No-show appointments:
    Missed appointments without communication may be charged the full session fee.

Insurance companies generally do not reimburse for missed appointments or late cancellation fees.


6. Card on File Policy

Clients may be asked to maintain a payment card on file within a secure payment or client portal system for scheduling and billing purposes.

Payment information is processed through encrypted and secure third-party payment systems designed to help protect financial information.


7. Outstanding Balances

Outstanding balances may impact the ability to continue scheduling future appointments.

Unresolved balances may result in:

  • Temporary pause of future appointments
  • Payment plan discussions when appropriate
  • Referral to collection procedures if necessary and permitted by law

8. Good Faith Estimate (GFE)

Under the No Surprises Act, self-pay and uninsured clients have the right to receive a Good Faith Estimate explaining expected costs for counseling services.

9. Secure Payments & Technology

Graceful Self-Help Counseling, PLLC utilizes secure, encrypted technology platforms whenever possible for scheduling, billing, telehealth services, and electronic communication.

Reasonable safeguards are used to help protect confidentiality and financial information in accordance with professional and ethical standards.

However, clients understand that no electronic system can guarantee complete security.
