This Refund & Payment Policy explains payment, cancellation, no-show, refund, and related financial policies for services provided through Graceful Self Help Counseling.
Christina F. Reed, M.Ed., MPA, is a Marriage and Family Therapy Associate and provides psychotherapy under clinical supervision.
1. Self-Pay Practice
Graceful Self Help Counseling currently operates as a self-pay practice and does not bill insurance directly.
Clients are responsible for payment of applicable fees at the time of service unless another arrangement has been approved in advance.
Current psychotherapy fees, reduced-fee options, and information about Graceful's Community Care Program are provided separately on the Graceful Self Help Counseling Rates & Financial Assistance page.
2. Payment Methods
Accepted payment methods may include:
- Credit or debit card
- Eligible Health Savings Account (HSA) cards
- Eligible Flexible Spending Account (FSA) cards
- Other approved electronic payment methods
Eligibility for payment or reimbursement through an HSA, FSA, or other benefit program is determined by the client's plan or account administrator. Graceful Self Help Counseling cannot guarantee that a particular card, account, or expense will be approved or reimbursed.
3. Card on File Requirement
Clients receiving self-pay psychotherapy services are required to maintain a valid credit or debit card on file through Graceful Self Help Counseling's secure payment system.
By signing the applicable financial agreement, clients authorize Graceful Self Help Counseling to charge the payment method on file for amounts due under that agreement, which may include:
- Scheduled psychotherapy services
- Agreed-upon extended session time
- Late-cancellation fees
- No-show fees
- Other authorized outstanding balances
Clients are responsible for keeping their payment information current.
4. Payment for Services
Payment is generally due at the time services are provided.
The payment method on file may be charged following the appointment for the applicable session fee and any other charges authorized under the client's financial agreement.
Clients should review their account and contact Graceful promptly if they believe a payment has been processed incorrectly.
5. Extended Session Time
Psychotherapy appointments have a scheduled session length. A brief grace period may be allowed when additional time is needed to appropriately conclude a session.
If a session continues beyond the grace period, additional time may be billed in 15-minute increments at the applicable extended-session rate.
Extended time is not guaranteed and depends on clinical appropriateness and scheduling availability. Whenever reasonably possible, the therapist will inform the client before entering additional billable time.

6. Cancellation Policy
Clients are asked to provide at least 24 hours' notice when canceling or rescheduling an appointment.
Late Cancellation
Appointments canceled or rescheduled with less than 24 hours' notice may be charged 50% of the scheduled session fee.
Graceful Self Help Counseling may waive a late-cancellation fee in cases of emergency or other significant unexpected circumstances. Waivers are considered individually and are not guaranteed.
7. No-Show Policy
An appointment may be considered a no-show when a client does not attend the scheduled appointment and does not provide appropriate notice.
No-show appointments may be charged 100% of the scheduled session fee.
The applicable no-show charge may be processed using the payment method maintained on file.
Graceful Self Help Counseling may waive a no-show fee in an emergency or other exceptional circumstance when appropriate.
8. Late Arrival
Clients who arrive late may receive the remaining portion of their scheduled appointment. Because the appointment time has been reserved specifically for the client, the full scheduled session fee generally remains due.
Extending an appointment because of a late arrival is not guaranteed. If additional time is available and the client chooses to continue beyond the scheduled appointment and applicable grace period, extended-session charges may apply.
9. Refund Policy
Completed psychotherapy sessions, assessments, consultations, and other completed professional services are generally non-refundable.
Refunds or payment corrections may be considered in circumstances such as:
- Duplicate payments or charges
- Billing or payment-processing errors
- Incorrectly processed charges
- An approved cancellation that was mistakenly charged
- Other circumstances in which a payment correction is appropriate
Approved refunds will generally be returned through the original payment method when reasonably possible.
10. Out-of-Network Reimbursement & Superbills
Although Graceful Self Help Counseling does not currently bill insurance directly, some clients with private health insurance may have out-of-network benefits.
When appropriate, clients may request documentation, commonly called a superbill, that they may submit to their insurance company for consideration of possible out-of-network reimbursement.
Graceful Self Help Counseling does not guarantee insurance reimbursement. Eligibility, coverage, deductibles, reimbursement rates, required documentation, and reimbursement decisions are determined by the client's insurance plan.
Clients interested in seeking reimbursement are encouraged to contact their insurance company directly to ask about out-of-network mental health benefits and submission requirements.
11. Good Faith Estimate
Individuals who are uninsured or who choose not to use insurance may have the right under federal law to receive a Good Faith Estimate explaining the reasonably expected cost of scheduled health care services.
A Good Faith Estimate is an estimate rather than a guarantee of the total cost of treatment. The number and frequency of psychotherapy sessions may change based on clinical needs, treatment goals, and decisions made during the course of services.

12. Outstanding Balances
Clients are encouraged to contact Graceful Self Help Counseling promptly if they believe a charge is incorrect or are experiencing difficulty with an outstanding balance.
Outstanding balances may affect the scheduling of future non-emergency appointments.
Clinical needs, continuity of care, professional responsibilities, and applicable requirements will be considered when addressing outstanding balances.
13. Sliding-Scale & Community Care Services
Graceful Self Help Counseling maintains a limited number of reduced-fee and pro bono (no-cost) psychotherapy openings through its financial assistance and Community Care programs.
Reduced-fee and no-cost services are subject to eligibility requirements and availability. Participation in a financial assistance program does not change the clinical nature or professional standards of psychotherapy services.

14. Workshops, Classes & Wellness Coaching
Educational workshops, wellness classes, wellness coaching, and other non-clinical services may have separate fees, cancellation requirements, refund terms, and registration policies.
Applicable costs and policies for those services will be provided before registration or scheduling.
15. Questions About Fees or Payments
Graceful Self Help Counseling wants financial expectations to be clear before services begin. Clients are encouraged to ask questions about fees, payments, cancellation policies, financial assistance, Good Faith Estimates, or other financial arrangements.
